Readable notes, permission to process them and a reviewer who attended the meeting. Replace confidential names or figures with placeholders when they are not needed for the structure.

  1. Clean up the source notes. Mark actual decisions and distinguish them from ideas that were only discussed.
  2. Specify three output sections: decisions, actions and open questions. Ask for a supporting passage from the notes for every action.
  3. Only fill the owner and deadline fields when the notes state them explicitly. Use “not yet agreed” otherwise.
  4. Check every row against the original. Pay particular attention to phrases such as “we could”, which do not establish a commitment.
  5. Clarify responsibilities with the participants. Add confirmed details yourself and date the reviewed summary.
  6. Move confirmed actions into your project tool. Send the summary only after review and only to its intended recipients.

Things to consider

A tidy table can still contain incorrect assignments. The model did not attend the meeting and cannot recover omitted discussion. Recording and consent questions need separate consideration before any transcription.
