AI automations with approval: draft first, act afterwards
Create a reviewable boundary between an AI suggestion and an external action.

The short answer
An AI step can prepare a message without sending it. An approval step separates the proposal from the real action. Zapier documents Human in the Loop, which can pause a workflow for human review. The design below is a general pattern, not an already connected integration.
Your practical comparison
What you need
A test workflow, harmless sample data, a reviewer and a precisely defined permitted next action. Check feature availability and costs for your chosen provider plan.
- Define the trigger precisely. An approved form is easier to control than an unrestricted mailbox monitor.
- Have AI create a proposal only. Keep the input, result and intended destination together.
- Show the reviewer the final text and exact recipient or destination. An abstract “approve” button is not enough context for review.
- Bind approval to that exact version. Changes to text or destination require another review.
- Run the action only after confirmation. Rejection, no response or a technical error should stop the workflow in a controlled way.
- Record confirmed completion and prevent duplicate actions during retries. Start with a few items and test failure handling.
Example to get you started
Example: form → draft → preview with recipient → human approval → send → confirmed status. The existence of a draft must not itself trigger sending.
Things to consider
An approval step does not make incorrect content accurate. Responsibility, review and the binding to the approved version must work together. Provider access, permissions and sending authorisation need separate setup.
